The paperwork that causes disputes

Most disputes on a house job come down to three things: a variation nobody signed, a progress claim the owner says isn’t due, and a program nobody updated. This pack covers the paperwork side of all three.

What’s inside (8 files)

  1. XLSX

    Construction Program (Gantt)

Durations in working days, each task linked to the one before it, and Gantt bars drawn automatically. NSW public holidays for 2026–27 are loaded, including the Anzac Day additional days. Add your Christmas shutdown. Includes a sample new-dwelling program with NSW critical-stage inspections and progress claim milestones.

  2. XLSX

    Progress Payments & Variations

Progress payment checker that flags a deposit over 10% (s 8), stages that don’t total 100%, whether HBC cover is needed before the deposit (over $20,000), the cooling-off period and the contract type the Act requires. Plus a variation register that keeps a running contract price and highlights approved variations with no signature.

  3. XLSX

    Site Diary & Delay Log

A year of daily entries. Delays add up by cause, ready for extension-of-time claims.

  4. DOCX

    Variation Form

Uses the Home Building Act Schedule 2 wording: variations “in writing and signed”. It records price and time changes before the work is done.

  5. DOCX

    Pre-Contract Compliance Checklist

The builder’s check before handing over a contract. Covers licence details, HBC, the 17-item owner checklist, the Consumer Building Guide, the Security of Payment Guide, and giving a copy within 5 clear business days.

  6. DOCX

    Payment Claim (SOP Act NSW)

Payment claim under the Building and Construction Industry Security of Payment Act 1999 (NSW), with the statutory statement and key dates. It also warns you plainly when the Act doesn’t apply (owner-occupier residential work).

  7. DOCX

    Practical Completion & Defects Checklist

Walk the job with the owner, list every outstanding item with photo references and due dates, tick off the handover documents (OC and final certificates), and give the owner statutory warranty information.

  8. DOCX

    Read Me First

What each file does, a 10-minute setup guide, licence terms and important notes, plus a short guide in Simplified Chinese.

Works in Microsoft Excel 2010+ / 365, Excel for Mac and LibreOffice. The Word documents are fully editable, so add your logo and licence number once. Every legal reference comes from public NSW Government sources and is cited in the file (checked October 2026).

Who it’s for

Small NSW builders

  • Anyone who wants variations and claims on paper

Site & contract admins

FAQ

Is this a building contract?

No. For the contract itself, use the NSW Government / Building Commission NSW official contract templates (free), or your HIA or Master Builders contract. This pack covers the admin around the contract: program, payment schedule check, variations, diary, payment claims and handover.

Is this legal advice?

No. The templates are general information and business tools. They point to the relevant NSW legislation so you can check it yourself. Laws change and every job is different. Get advice from a lawyer or your industry association for your situation.

What software do I need?

Microsoft Excel 2010 or later (including Microsoft 365 and Excel for Mac) or LibreOffice for the spreadsheets, and any word processor that opens .docx files. Google Sheets opens the spreadsheets, but some colour highlighting may need to be set up again.

Can I use it on more than one job?

Yes. The licence covers one business for unlimited jobs. Please don’t resell or share the files outside your business.

Which public holidays are in the program template?

NSW statewide public holidays for 2026 and 2027, including the additional days. Add your own shutdown, RDOs or local holidays in the Settings sheet. For other dates, try our free NSW working days calculator.

Does it work with the Construction Gantt app?

They are separate products. Use the Excel program if you prefer spreadsheets. Use Construction Gantt if you want the schedule, site diary and photos on your phone and shared with your team.

What if something isn’t right?

Email [email protected]. Your rights under the Australian Consumer Law are not affected.

Disclaimer. The templates are general information only, not legal advice. They are not a building contract and don’t replace one. For contracts, use the NSW Government / Building Commission NSW official contracts (or your industry association contract). Legal references are to NSW legislation as checked in October 2026. Check current requirements and get professional advice for your circumstances.
